Senior Development Associate

American Humane seeks a detailed-oriented Senior Development Associate to assist the philanthropic services team with all tasks related to fundraising, particularly those matters related to developing, maintaining and managing prospective donors or partners. This position is based at American Humane’s national headquarters in Washington, DC and reports directly to the Vice President of Development.

Position summary:  

The Senior Development Associate is responsible for working closely with the Vice President of Development and other staff to support the identification, cultivation, solicitation and stewardship of current and prospective individual, corporate and foundation donors for the purpose of furthering the mission of the organization.  The Associate’s responsibilities will continue to develop in line with the team’s growth and needs and would include providing administrative support to the team, managing the daily operations of the direct mail program, working closely with senior leadership on special projects, and identifying and maximizing opportunities for partnerships with current and potential donors on projects across all program areas. The Development Associate will also work on grant reports and new proposals to help secure further meetings and funding for the organization.  

Responsibilities:

 General Administration (approximately 60%):

  • On behalf of the Vice President of Development, liaise with the development team and other organizational staff to oversee activities such as managing calendars, preparing team meeting agendas, scheduling team meetings, facilitating new employee onboarding, etc.
  • Coordinate closely with Executive Coordinator, Office of the President & CEO to ensure that office is supported by development.
  • Support the major gift team in coordinating materials needed for major donor cultivation such as brochures, presentations, proposals and acknowledgement letters; helps enter trip reports into donor records.
  • Draft written grant reports and proposals as needed.
  • Process credit card statements and reimbursements for major gift team and Vice President of Development.
  • Draft letters and emails to potential donors from the President & CEO and Vice President of Development as needed.
  • Manage the process of donor thank you gifts.
  • Provide support with pre-event prep work such as look books and post-event follow-up.
  • Conduct high-level prospect research to help VP and major gifts team prepare for meetings.
  • Lead the acknowledgement letter process.
  • Assist Director, Donor Operations in gathering information for budget development and management; coordinate to ensure development staff are tracking toward revenue goals.
  • Assist with year-end fundraising efforts by developing tax receipts for $250(+) donors.
  • Other duties as assigned by Vice President of Development.

Direct Mail (approximately 40%):

  • Manage the day to day operation of the direct mail program in close coordination with the Director, Development Operations and Sr. Manager, Marketing & Donor Operations.
  • Responsible for writing creative, working closely with program staff and legal to develop and approve content.
  • Manage direct mail schedule, ensuring timely production and distribution with staff and vendor.
  • Coordinate direct mail calendar with the communication team’s editorial calendar.

Essential experience, knowledge, skills and abilities:

  • Bachelor’s degree is preferred.
  • Two to three years of experience desired.
  • Non-profit experience preferred, particularly in coordinating a direct mail program. 
  • Demonstrates drive and an ownership mentality. 
  • Has a self-disciplined, action-oriented style with strong work ethic and ability to prioritize tasks to meet deadlines and high detail orientation. 
  • Possess a client service attitude, the ability to think on your feet and maintain a positive demeanor. 
  • Experience identifying and supporting the cultivation, solicitation and stewardship of high-level donors preferred. 
  • Demonstrated proficiency in computer technology including applications for project and data management and electronic calendars (Raiser’s Edge, Windows, Microsoft Word, Excel, PowerPoint and Outlook preferred).  Ability to quickly learn software specific to the department or institution. 
  • Strong written (including proof reading and editing) and oral communication skills, including the ability to briefly summarize the essence of issues and means to address them.  Uses appropriate grammar in verbal and written form. 
  • Sound judgment and discretion in handling and securing confidential information, as well as the ability to conduct oneself in a highly professional manner. 
  • Flexibility to work as part of a team or independently to meet goals in a fast-paced, deadline-driven environment.  Self-directed to take action and resolve issues. 
  • Makes appropriate decisions or choices based on understanding alternative courses of action and potential repercussions.

Physical demands and work environment: 

  • Position based in Washington, DC headquarters office. 
  • Standard working office environment; must be o.k. with occasional animals in the office. Typical hours for this position will be 8am - 4pm
  • Limited travel may be required.  
  • Lifting of boxes weighing 25 pounds or more.
  • While performing the duties of this position, the employee will be regularly required to: 
    • Sit for extended periods; 
    • Look at and work off of a computer screen for extended periods; 
    • Talk, hear and exchange information over the telephone and in person.
